Privacy policy

This policy explains what personal data Aria, operated by Vizio AI, collects, why, where it is kept and how to have it removed. It covers visitors to this website, people who use the app, and candidates and employees whose data a customer brings into a workspace.
Who is responsible
For website visitors and app users, Vizio AI is the data controller. For candidate and employee data inside a workspace, the customer who owns the workspace is the controller andVizio AI is the processor acting on their instructions. If you are a candidate and want to know how a company that uses Aria handles your application, contact that company; we will help them respond.
What we collect

How we use it
- To provide, secure and support the service and the integrations you enable.
- To send you emails you have asked for: invitations to a workspace, demo follow-ups, service notices.
- To keep an audit trail of access changes and platform-staff actions.
- To meet legal obligations.
We do not sell personal data. We do not use Customer Data to train machine-learning models, and our model providers are contractually bound not to either. We do not run advertising or cross-site tracking on this website.
AI processing
To score a candidate, the text of their résumé and cover letter together with the role's requirements is sent to a hosted language model and the result is stored in the workspace. Every score is shown with the evidence that produced it, and a person makes each decision. Enrichment queries public web sources for professional information about a candidate and stores what it finds in the workspace.
Where data lives and who else touches it
Data is stored in the European Union (Frankfurt) with Supabase, and served by Vercel. The full list of sub-processors and what each receives is on the security page. Where data leaves the EU, we rely on standard contractual clauses.
How long we keep it
- Account data: until you delete your account.
- Workspace, candidate and employee data: until the workspace deletes it or the workspace is deleted.
- Demo requests: up to 24 months after the last contact.
- Audit trails and logs: up to 24 months, then removed.
- Backups: expire on the hosting provider's retention schedule after the source row is deleted.
Your rights
Depending on where you live you can ask to access, correct, export, restrict or delete personal data we hold about you, and object to processing based on legitimate interest. Write to privacy@vizio.ai and we will respond within 30 days. Candidates whose data is in a customer's workspace should contact that customer; we will pass on and support any request we receive directly.
Cookies
We use only the cookies and browser storage needed to keep you signed in and remember your display preferences. Details are in the cookie policy.
Children
The service is for organisations and their staff. It is not directed at children under 16.
Changes
We will post changes here and, for material changes, notify workspace owners by email. The effective date above tells you when this version took effect.
